About the Position:
The College of Natural Sciences and Mathematics (NSM) is one of eight colleges at CSUF and contains five departments. The college offers through its departments and programs, baccalaureate degrees in all disciplines and master's degrees in biological science, chemistry, geology, physics and mathematics. We are seeking an exceptional individual to join our team as the Natural Science and Mathematics Dean's Office Analyst/Specialist (Administrative Analyst/Specialist-Exempt I). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Provides the highest level of staff administrative support for the Dean of Natural Sciences and Mathematics (NSM), the administrator of a large, complex academic office. Serves as the principal liaison between the Dean and on and off-campus persons. Schedules appointments, coordinates meetings, supports the Dean's work on state and national advisory panels, and prepares agendas and minutes of College Leadership Team meetings. Plans and carries out College events and assists with College fundraising activities. In the latter capacity, works with and assists the NSM Advancement Team in planning, coordinating, and executing major fund-raising and other events such as NSM Convocation and NSM Awards Banquet. Oversees the planning of NSM Commencement and serves on the University Commencement Planning Committee. Independently designs invitations and announcements, arranges venues, negotiates venue and catering contracts, and facilitates approvals. This position requires organizational skills, initiative, and the ability to work independently outside of business hours. Serves as a resource person who interprets and provides instructions relating to NSM and University policies and procedures. Ensures organization and maintenance of files for the NSM Dean. Bears principal custodial responsibility for the working personnel action files for tenure and tenure-track faculty maintained by the College. Maintains confidentiality in handling these and other personnel files and in working with sensitive matters and documents. Supports the Dean in recruiting tenure and tenure-track faculty and in ensuring that retention, tenure, and promotion and post-tenure evaluations are completed in a timely manner. Assists the Dean in interpreting and carrying out campus procedures related to hiring and evaluating tenure and tenure-track faculty. Assists in the training and oversight of Dean's office student assistants and works with the Administrative Analyst to maintain office procedures and workflows that are inclusive, effective, and efficient. Independently composes letters for the Dean and coordinates NSM faculty, staff, and student awards. Selects and purchases College promotional items. Other duties as assigned.


Essential Qualifications:
Bachelors degree from an accredited four-year college or university and/or the equivalent training and administrative work experience involving the study, analysis, evaluation, development or improvement of administrative policies, procedures, practices or programs plus two years of related experience.

Working knowledge of and the ability to apply standard theories, principles, practices, and techniques applicable to the program or administrative specialty to develop conclusions and make recommendations. Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program or administrative specialty. Working knowledge of operational and fiscal analysis and techniques. Ability to take initiative and plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved. Skilled in research, development, and evaluation of policies and programs. Ability to collect, evaluate, and interpret data to develop sound conclusions and make appropriate recommendations. Expertise investigating and analyzing problems with broad administrative impact and implications. Ability to anticipate problems and address them proactively. Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form. Ability to train others on new skills and procedures and provide lead work direction.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.


Preferred Qualifications:
Experience in an academic administrative office with similar functions, size, and scope. Experience with academic personnel procedures and policies. Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the NSM Deans Office (e.g., personnel and events). Expertise in investigating and analyzing problems with a broad administrative impact and implications. Sensitive and responsive to the needs of diverse students, faculty, and staff. Experience training others on new skills and procedures and providing lead work direction. Experience with Adobe Photoshop and Illustrator.
